The Role
We are looking for a Timetabling Officer to join our dynamic Timetabling team, delivering an efficient, customer-focused timetabling experience for staff and students. If you are highly organised, detail-driven, and passionate about creating a seamless student experience this could be the role for you.
This is an exciting opportunity to play a key role in the student journey from enrolment to graduation, ensuring timetables are accessible and accurate for all our students. You will be a key contact for students during their enrolment period, providing important timetable details to them on the day they enrol. You will support the day-to-day operations of the timetabling team, including clash monitoring and responding to staff and student enquires. You will also be responsible for managing room booking enquiries and maintaining the automatic room booking system. During peak periods may also be assigned responsibility for scheduling timetables for specific courses.
This is a 0.6FTE role working 21 hours per week. This will be split over 3 - 4 days per week with a preference that this includes working on Mondays or the flexibility to do so during enrolment periods.
As a Timetabling Officer, you will:
- Manage day-to-day timetabling operations, including ad-hoc room bookings and space audits.
- Maintain accurate timetable data and resolve scheduling conflicts.
- Support students during enrolment periods, helping them access their timetables and answering queries.
- Provide training to staff and students on the timetabling system and deputise for the Senior Timetabling Officer when required.
Key skills for this role include:
- Strong attention to detail and analytical skills, with confidence using Excel.
- Excellent communication and customer service skills.
- Ability to work collaboratively and maintain accuracy under pressure.
The Candidate
You’ll be an adaptable, proactive team player with a keen eye for detail and a commitment to delivering exceptional service. Ideally, you will have:
- Experience in a busy administrative environment.
- Proven ability to manage competing priorities and solve problems effectively.
- A customer-focused approach and strong interpersonal skills.
- Commitment to diversity, inclusion, and continuous improvement.
Experience with timetabling and using timetabling systems in Higher or Further Education is desirable but not essential—we’ll provide training and support to help you succeed.
